President: The President is the leader of the chapter and the manager of the chapter affairs. As a leader, he/she is to motivate dependents so that they perform their respective duties with diligence, initiative, and responsibility. As a manager, he/she must delegate to each dependents the authority of his/her respective position and ensure that he/she accepts and performs the responsibility of that position to enhance progress. The president orchestrates fundraising with the Fundraising Chair. It is recommended that the president does not have a job outside of school totaling more than 18 hours. Presidency holds the same amount of time as put into a 4 hour credit course.
Vice President The Vice President shall perform the duties of the President in the absence of that officer, run E-week events each February, and consult over the design and ordering of the chapter’s Great Lakes Conference T-shirts. The Vice President shall assist the President and Funding Chair with fundraising. Also, the Vice President shall manage the garage space and maintenance of the tools, etc. in congruent with the aid of the Concrete Canoe Chair. The Vice Presidency holds the same amount of time as put into a 3 hour credit course.
Treasurer The Treasurer shall take charge of all funds belonging to the chapter, be responsible for their proper disbursements, prepare all chapter budgets, and maintain records of student membership dues. There shall also be kept a documented list of sponsors. In collaboration with the President, all finance records shall be recorded in hard or electronic copies, kept in the ASCE Office in RRB for current and future references.
Secretary The Secretary shall take minutes at all meetings, be responsible for any proposed amendments, and prepare the chapter’s annual report due the 1st of February in congruent with the President, and maintain meeting attendances. To help with the creation of the report, he/she must meet with the President, Vice President, and Treasurer on a regular basis. They will also be required to update the membership spreadsheet on a weekly basis. These documents shall be kept in two copies one hard and one electronic compiled in a binder and kept in the ASCE office for reference.
Conference Chair (2) The Conference Chair (Co-Chairs) shall be in charge of organizing and running UIC’s entry into the ASCE Great Lakes Regional Conference and possibly the ASCE National Conference. He/she shall also be in charge of designing and ordering Conference T-shirts in congruence with the Vice President and President, and organizing hotel accommodations; including transportation of equipment and students to conference. He/she is also responsible for updating Conference Waiver/Student Contract and following up with student compliance and hosting an informational meeting. The Conference chair needs to acknowledge and express deadlines to the respected captains. The deadlines will be received through mailers from the hosting school. Expect at least 3 mailers to be sent each year. He/she is also responsible for creating a Conference Committee on the years UIC will be hosting the Great Lakes Student Conference. The Conference Committee is responsible for organizing all aspects of hosting conference.
Historian The Historian shall keep a record of chapter events such as (but limited to) meetings, field trips, dinners, and Conference events by capturing photos and completing any other documentation. The photos taken and documents recorded shall be compiled either in electronic form or hard copies and kept in the office in the same binder as the meeting minutes, etc. for the end of the year report. The Historian shall also be in charge of collecting chapter documentation for the success of future chapters. This can be digital or physical copies stored in the ASCE office. Finally, the Historian shall work closely with the Publicity Chair to provide content for website/social media.
Concrete Canoe Chair The Concrete Canoe Chair shall be in charge of the design and construction of the chapter’s concrete canoe in accordance with conference rules and can appoint multiple captains. He/She shall be responsible for all aspects of the project and will help maintain the garage space. The chair shall have one vote on the board as a representative of the Concrete Canoe committee. The Concrete Canoe Chair shall not hold any other executive board position with or in another society. There will be a max of 1 captain. Captains are nominated by the current captain and voted on by the board. Co-captains are open to all general members and there is no limit to how many there can be. Co-captains do not have a vote for the officer board. Co-captains are appointed by the elected captain to carry any task delegated to him/her by the captain.
Sustainable Solutions Chair The Sustainable Solutions Chair/Captain shall be in charge of design and construction of the chapter's entry into the Sustainable Solutions competition. He/She shall be responsible for all aspects of the project and will help maintain the garage space. He/She may appoint Co-captains. Co-captains do not have a vote for the officer board. Co-captains are appointed by the elected captain to carry any task delegated to him/her by the captain. If there is no Sustainable Solutions competition held by the Great Lakes Student Conference, he/she shall consult with the Conference Chairs to find another role to contribute to the Great Lakes Student Conference competition(s).
Students Affairs/ Outreach Chair The Student Affairs Chair shall take charge of student planned and community based events for the chapter with the help of his/her co-chair. They will conduct such activities, but not limited to, making flyers, invitations and set up visits to Engineering 100 classes to inform students of events. He/she shall be sure to send the flyers to the Publicity Chair. A minimum requirement of 1 student activity(s) per semester (fall and spring) shall be set up for the academic year; this excludes any activities done in partnership with other societies/groups/etc.
Publicity Chair The Publicity Chair shall be in charge of keeping the organization’s website up to date and updating the all links, also including all social media outlets. He/she should help with updating the ASCE events google calendar. The Publicity Chair shall also be responsible for maintaining and uploading photos/videos to social media outlets. The Publicity Chair shall work closely with the Historian.
Fundraising Chair The Fundraising Chair shall be in charge of raising funds for the chapter’s needs including, but not limited to, funds for the competitions, registration fees, and social and outreach events. He/she will work closely with the President, Treasurer, Captains, and Conference Chair to create funding goals and a budget for the school year and beyond. Some of the tasks to be performed include: writing sponsor letters and/or creating a sponsorship packet, presenting at sponsor meetings, and keeping records of the funds raised and from who. Emphasizes shall be placed on building connections with third party organizations outside of UIC.
Surveying Chair The Surveying Chair shall be in charge of informing students about the field of surveying by holding several workshops throughout the year. The Surveying Chair shall consult with experienced CME faculty (or any other surveying professional/expert) for the use of equipment for the workshops and for advice and knowledge. The Surveying Chair is also in charge of setting up a small team to compete in the Surveying Competition in the Great Lakes Student Conference, if applicable.
Construction Institute Chair The Construction institute chair will be in charge of informing students about the field of construction management, communicate with experienced CME faculty (or other experienced professionals) for advice and knowledge. This position will also be the leader of the Construction Institute Competition in the Great Lakes Student Conference, if applicable.
**President and Vice President positions are available only to current officers within UIC’s ASCE organization; other positions are open to all.**
